The process below is from a virtual instructor-led course I designed for Central Quality Global Investigations and Market Action at Alexion, AstraZeneca Rare Disease Unit. I can't show you the assets due to the proprietary nature of the content, but I will share my process and the prompts I used.
The following is the steps I used to leveraged AZ ChatGPT to draft the course outline using the SOP and existing course content.
Attach SOP to AZ ChatGPT and enter the following prompt:
Review the attached document about managing deviations in Alexion Pharmaceuticals. Draft a high-level process that summarizes as a night level the steps they need to complete to compete a deviation effectively. I want something similar to the following steps for completing a Notification to Management: 1. Identify the event if it need sto be escalated or not. 2. Assess risk: Assessing risks not only identifies key challenges—such as Patient Safety, Data Integrity, Product Quality, Product Supply, and Regulatory—but also determines the people who should be notified and involved in the review process. 3. Identify stakeholders and submit notification to management form. 4. manage the NtM Meeting: Collect the proper documents and stakeholders to set up the meeting. 5. Follow up and close the request.
It provided 8 steps. I wanted less steps, so I asked “Can you consolidate it by relevant topics in less steps?”
After I got the steps extracted from the SOP, I start to work on the existing content.
The Subject Matter Expert provided an assortment of PowerPoint files that I consolidated into one PPT file. I attached the file and entered the following prompt:
Based on the high-level process summarizing the steps to effectively complete a deviation in Alexion Pharmaceuticals and the attached file "Deviation Management Files Consolidated", create an outline for a virtual instructor led training. Include breaks according to best practices for virtual training engagement. Present it in a table. The first column is for the time, second column for the name of the instructor. Thirds column is the topic and the last column is for notes.
The result was a training outline for a course that was too long. I added the following prompt:
It is a virtual course, so I'm looking for ways to make it no more than 3 hours long, maximum 4 hours with proper breaks consistent with virtual instructor-led training best practices. Revise the table timeline.
I also added the following:
Can you revise the table for the session to be 90-minutes long? I want to provide two timing options.
